Summer Employment Opportunity – Office Administrator Assistant

The Ukrainian Canadian Congress-Toronto Branch is seeking to hire an Office Administrator Assistant. This job is funded by the Government of Canada through the Canada Summer Jobs program.

To be eligible, candidates:

  • must be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act*
  • must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

*International students and those on CUAET visas are not eligible.

The Office Administrator Assistant is a critical member of the nonprofit organization's team and will provide essential administrative support to the Administrator and other team members. The ideal candidate is detail-oriented, organized, and can work independently with minimal direction.

Responsibilities:

  • Answering phones and directing calls to appropriate team members
  • Managing and organizing files, records, and documents
  • Assisting with the planning and execution of organizational events and activities
  • Providing administrative support for fundraising activities, including donor acknowledgments and mailings
  • Managing calendars and scheduling appointments and meetings for the board members
  • Preparing and distributing internal and external correspondence, including emails and letters

Qualifications:

  • Bachelor's degree preferred
  • Administrative support experience, preferably in a nonprofit environment
  • Proficiency in Microsoft Office Suite and experience with database management
  • Excellent organizational, communication, and interpersonal skills
  • Ability to work independently and collaboratively in a team environment
  • Experience working with community organizations and individuals 
  • A keen understanding of the local Ukrainian Canadian community
  • Fluency in English and proficiency in Ukrainian are essential

Term and working hours: June – August, 8 weeks, 35 hrs. per week (280 hrs. max).

Hourly wage: $18.50

Place of work: in office at 145 Evans Ave., Toronto

The Social Media Coordinator will be responsible for developing and implementing social media and marketing strategies to promote the organization's projects, increase engagement and awareness, and drive fundraising efforts. The ideal candidate will have excellent communication and creative skills, experience in social media management and digital marketing.

Responsibilities:

  • Develop and execute social media and marketing strategies to increase engagement, awareness, and fundraising efforts
  • Manage the organization's social media accounts (Facebook, Twitter, Instagram, LinkedIn, etc.), creating content and graphics, scheduling posts, and responding to comments and messages
  • Develop and manage email marketing campaigns, including creating content and designing templates
  • Write and edit copy for marketing materials, including flyers, brochures, and newsletters
  • Create and manage digital advertising campaigns (Facebook, Google AdWords, etc.)
  • Work with the team to develop and implement fundraising campaigns and events
  • Collaborate with external partners and stakeholders to develop joint marketing initiatives

Qualifications:

  • Bachelor's degree in marketing, communications, or a related field
  • Excellent communication, copywriting, and creative skills Knowledge of social media platforms and tools, including Hootsuite, Buffer, and Canva
  • Experience in email marketing platforms such as Mailchimp, Constant Contact, etc.
  • Experience with digital advertising platforms, including Facebook and Google AdWords
  • Ability to work effectively with diverse stakeholders, including staff, volunteers, and external partners
  • Proficient in Microsoft Office and Adobe Creative Suite
  • Ability to work flexible hours
  • A keen understanding of the local Ukrainian Canadian community
  • Fluency in English and proficiency in Ukrainian are essential

Term and working hours: June – August, 9 weeks, 30 hrs. per week (270 hrs. max).

Hourly wage: $18.50

The ideal candidate will have excellent organizational and communication skills, a strong attention to detail, and the ability to work independently and as part of a team.

Responsibilities:

  • Coordinate various projects for the organization, ensuring they are completed on time and within budget
  • Develop project plans, timelines, budgets, and track progress towards project goals
  • Ensure all stakeholders are kept informed of project progress and any issues or risks
  • Work closely with project teams to ensure effective communication, collaboration, and project delivery
  • Coordinate project budgets, expenses, and funding requests
  • Coordinate project contracts, including vendor selection and management
  • Ensure compliance with all applicable regulations, policies, and procedures

Qualifications:

  • Experience in project coordination or project management
  • Experience in the non-profit sector is an asset
  • Excellent organizational and communication skills, with the ability to work independently and as part of a team
  • Strong attention to detail and the ability to manage multiple tasks simultaneously
  • Ability to work effectively with diverse stakeholders, including staff, volunteers, and external partners
  • Proficient in Microsoft Office and project management tools
